This Privacy Policy explains how AI Pro Portrait (“we”, “our”, “us”) collects, uses, and protects information in connection with aiproportrait.com, our mobile/desktop experiences, and our integrations on third-party marketplaces and platforms (e.g., Canva and similar) (collectively, the “Services”).

1) Information We Collect

  • Account Data: name, email, authentication identifiers, and settings.
  • Uploads: photos and other content you submit so we can generate your headshots.
  • Outputs: headshots and related exports we create, along with basic metadata (timestamps, file type/size).
  • Payments: processed by payment providers (e.g., Stripe or platform billing). We don’t store full card numbers.
  • Usage & Device Data: logs, IP address, browser/OS, pages or features used, crash/error diagnostics, and similar analytics (via cookies or comparable technologies).
  • Support: messages, requests, attachments, and related correspondence.

2) How We Use Information

  • To provide, personalize, and operate the Services.
  • To process uploads, generate and deliver outputs.
  • To authenticate users, prevent abuse, and secure the platform.
  • To process payments and send transactional communications.
  • To provide support and service notifications.
  • To analyze performance, quality, and reliability.
  • To comply with legal obligations and enforce our Terms.

3) Data Retention & Deletion

  • Uploads: stored securely for processing and support.
  • Generated outputs: retained for up to 30 days for your convenience, then deleted automatically (unless a longer period is required by law or by a third-party platform’s rules).
  • Early deletion: you can request deletion of your uploads and outputs at any time. We remove active copies and schedule deletion from backups/logs within a reasonable period.
  • Billing records: kept as required by law (e.g., tax/audit).

4) Sharing & Service Providers

We do not sell your personal information. We share data with service providers under contracts that require confidentiality and appropriate security. Typical providers include:

  • Cloud hosting & storage (e.g., object storage) for secure file handling.
  • Payment processing for purchases and refunds.
  • Email/support tools for account and helpdesk communications.
  • Analytics & error monitoring to improve reliability and performance.

We do not use your photos or your generated headshots to train AI models or for marketing without your explicit consent (“opt-in”).

We use necessary cookies for authentication and security, and may use analytics cookies to understand usage and improve the Services. You can control cookies via your browser settings or, where available, our cookie banner preferences.

6) Security

We implement technical and organizational measures designed to protect your information (e.g., encryption in transit and at rest, access controls). No system is 100% secure; please safeguard your account credentials.

We may process information in the United States and other countries. Where required, we use appropriate safeguards (such as Standard Contractual Clauses) for cross-border transfers.

9) Third-Party Platforms & Integrations

If you access our Services via a third-party platform (e.g., a Canva app), your data may also be processed under that platform’s terms and privacy policy. We are not responsible for third-party platform services, uptime, permissions, or data practices. Where there is a conflict, the platform’s terms may control aspects of access, billing, and data handling for activity on that platform.

10) Children’s Privacy

The Services are not intended for individuals under 18. We do not knowingly collect personal information from anyone under 18. If you believe a minor has provided data, contact us and we will delete it.
